Text Response must first be turned on at an Organization level by an Organization Administrator. Once enabled, Staff can turn it on/off at the Staff level.
At this this time this features is only for SMS or text response notifications. If a Client confirms/cancels via phone or cancels via the Client Portal you will NOT be notified via text.
NOTE: Appointments marked as Telehealth will receive the Telehealth reminder template. This feature is only available if you are subscribed to our integrated Telehealth solution.

Enter Mobile Number
- Click your Name in the top right corner and select My profile and settings.
- Enter Mobile Phone Number you want to receive text response notifications at.
- Click Save. Then enable Text Response Notifications below.
Enable Text Response Notifications
NOTE: If you receive a "your organization admin has disabled this feature" error, contact your Organization Administrator to turn it on. WebABA Support is NOT able to turn this on for you.
- Click Preferences tab.
- In Client Communications section, select each type of notification you want to get.
- Confirms an appointment via a reminder - Client responds with a standard reply, a "1" to confirm the appointment.
- Cancels an appointment via a reminder - Client responds with a standard reply, a "2" to cancel or decline the appointment
- Responds to a text with a non-standard reply - Client responds with any things other than a "1" or a "2". For example: "Sorry, can't make it" is a non-standard reply.
- Click Save Preferences button.
Examples of Standard and Non-Standard Replies
IMPORTANT: As a Therapist, you will ONLY receive a non-standard replies
- If you are an Organization Administrator and you select Responds to a text with a non-standard reply, you will receive text notifications for ALL Clients (assigned and not assigned to you).
You will not receive the standard reply notifications for appointments that are not yours, but again, you will receive a text response notification for ALL non-standard replies regardless of who the staff member is on the appointment. - If you are a Therapist and not an Organization Admin it's important for you to know that you will only receive non-standard reply notifications if they are the FIRST response to a reminder.

Text Response Scenario: When Assigned Staff Alerts are ON AND Org Admin Alerts are ON:
NOTE: Regular appointment and telehealth appointment reminders are added to the reminder log in the client's profile.
- IF the first response to a text appointment reminder is standard ("1" or "2"), then the assigned staff receives an SMS alert of appointment confirmation/cancellation; the message is added to the reminders log.
- If the client sends another message after this with "1" or "2", no users receive SMS alerts; the message is added to the reminders log.
- If the client sends another message after this with a non-standard message, the org admin will only receive an SMS alert that the client has sent a non-standard reply; the message is added to the reminders log.
- IF the first response after an appointment reminder is non-standard (free text message), THEN the assigned staff and org admin both receive SMS alerts that the client sent a non-standard message; the message is added to the reminders log.
When assigned staff alerts are ON and org admin alerts are OFF:
- IF the first response after the text appointment reminder is standard ("1" or "2"), then the assigned staff receives an SMS alert of appointment confirmation/cancellation; the message is added to the reminders log.
- If the client sends another message after this with "1" or "2", no users receive SMS alerts; the message is added to the reminders log.
- If the client sends another message after this with non-standard message, no users receive SMS alerts; the message is added to the reminders log.
- IF the first response after the text appointment reminder is non-standard (free text message), THEN the assigned staff receives an SMS alert that the client sent a non-standard message; the message is added to the reminders log.
